Record a Justification Request

An assessment must be completed within 30 days of the receipt of an intake report. You may determine that a piece of the assessment cannot be completed within this time. In this case, you may request, with a justification, a 15-day extension. The agency director and/or designee must approve the extension.

Justifications apply only to intakes of category CA/N and Family in Need of Services (Stranger Danger type).

To record a justification or waiver request, including the reason for it, complete the following steps:

  1. From the Home screen, click the Case tab.

  2. Click the Workload tab. The Case Workload screen appears.

  3. Click the Case ID Number link for the case you want to update. The Case Overview screen appears.

  4. Click the Justification/Waiver link in the light-blue menu on the left. The Maintain Justification Request(s) screen appears.

  5. Click the View link for the justification request you want to view.

  6. Click the Edit link or the justification request you want to edit.

  7. To create a new request, click Add Justification Request. The Justification Request Details screen appears. The Intake Information area lists the intake records that are associated with this case.

  8. For a new request, click the radio button next to the intake to which this request applies.

  9. Complete the Reason for Justification narrative field. You must enter a reason before going to the next step.

  10. Click the Associate Justification Type button. The Justification Type Details screen appears. This screen allows you to define the justification type and associate it with the intake participant(s). This screen also displays the participants who are associated with the intake you selected on the previous screen.

  11. Complete the Justification Type field.

  12. Select the check box next to the participant(s) to whom the activity applies.

    You must associate intake participants if you select one of these justification types:

  13. Click the Add Intake Participant(s) button. The system associates the justification type with the intake participants you selected and updates the records that appear in the Justification(s) table at the bottom of the screen.

  14. If needed, click the Remove link to a justification type record.

  15. To add another justification or waiver to this intake record, repeat the steps above.

  16. Click the OK button. You are returned to the Justification Request Details screen.

  17. Click the Process Approval button. The Process Approval screen appears.

  18. Complete the fields as needed. Some fields are mandatory.

  19. Click the Save button. You are returned to the Maintain Justification Request(s) screen. The request is sent to your supervisor for further approval. (You cannot delete or modify a justification request at this point.)
