The services offered through an agency are established in the Financial area for selection on case records.
Standardized services include those an agency provides at a cost. The system uses the default cost for the service, defined by the State, to calculate service payment amounts, unless an agreement with the provider establishes a separate standard of compensation.
A county agency may adjust the State-defined cost by certain cost factors. For example, your agency may pay foster parents different rates for different age groups.
Record an agency's standardized service as follows:
Click the Financial tab at the top of the screen.
Click the Service tab.
Click the Maintain Services link in the menu on the left. The Agency Services Search Criteria screen appears.
Select the Agency in the Agency field. The agency number auto populates below this field.
Select the Service Category in the Service Category field.
Select Service Type in the Service Category field whose service information you want to update.
Click Search.
At the bottom of the screen, select the Service Category. The add service field will populate.
Select the Service Type field and select the service you need to record.
Click the Add Service button and Agency Services Details screen appears.
Complete the fields on this screen. You must complete at least the Service Description and Service Long Description fields. These descriptions must be unique within the agency.
Select the Check Box next to each service attribute that applies to the service.
Click Save to save the information.
Click Add Service Cost. The Standardized Cost Details screen appears.
Enter Effective Date of the service; select Unit of Measure; enter the Standardized Cost.
Click Add Cost Factor to add cost factor details. The Cost Factor Details screen appears. The cost factors are used for agency foster care rates that change due to the age of a child and difficulty of care. The information is used for the State Annual Survey in Procedure Letter 58H.
Enter Minimum Age, Maximum Age. Select the Point In Month in which the add on costs begin.
Enter Add On Cost and click Calculate button.
Click Save to save the information. You are returned to the Standardized Cost Details screen
Click Save. You are returned to the Agency Services Details screen.
Click Save. You are returned to the Agency Services Search Results screen.
