About Staff Management

Throughout Ohio SACWIS, the terms "staff," "employee," and "worker" are used interchangeably. As a supervisor, or as one who performs supervisory tasks; to perform tasks and manage the work of individual staff or by team, you will primarily use the following two areas:

Home tab

From this tab you will manage the daily work items of your staff. You can view your ticklers, as well as the ticklers of the workers who you supervise. You view and address approval requests on work items such as intakes, assessments, case plans, and recruitment plans. You also manage worker assignments and case transfers.

Alerts

The system defaults to display the Alerts tab on the Home screen when you first login to SACWIS. Alerts are simply alerting you that an action or actions were taken on work items you are assigned whether the action was taken by you or another worker. Alerts are simply to alert you to work that has been done. The system defaults to display to alert you of work performed since your last login. You can select to view alerts from 1 day, 7 days, and up to 14 days. The alerts display as a link. You can click on the link to go directly to the item.  

Action Items

Action Items display takes the place of the Tickler system. You can view Action Items from the Home screen and from your workload assignment. Action Items display based on assignment. The system displays the total of Action Items for actions that are overdue, and for actions upcoming due; and they are divided into buckets. Depending on your role, you can have up to five Buckets. Action items display as links beneath the buckets based on the bucket selected. Approvals

Work processes that require approval will display at the end of each process that needs routed and/or supervisor approval. Once the process is completed and validated by the worker, if you are the person to whom it is routed, it will display as a link within this tab. Once you select the link, you review the details recorded. The Process for Approval button will allow the supervisor to route the record back to the worker and/or final approve the record.

Assignments

Displays work assignments assigned to you. If you have supervisory duties, the assignments tab also displays a drop down list to select from the workers assigned to you; and a show button to view the assignments for the worker selected. As a supervisor; the Assignments link allows you to select each team member to view their assignments; assign tasks, end assignments, and assign items by geographical designation.  

Administration tab

From this tab you perform the tasks that are related to worker information. This includes on-call worker assignments, a worker's personal and employment information, worker training plans, and the assignment of supervisory delegates. You can also use this tab to generate standard reports.

Staff

Three links are available in the left hand navigation. On-call Employees link allows you to assign specific dates and times employees are on-call. The Maintain Staff link allows you to add employees, and to  edit employee information to include their job history, BCI details, demographic information, add and view licenses. The Delegate Assignment link is where you will identify and delegate employees to cover work assignments.  

Maintenance

This link under the Administration tab lets you maintain details on your agencies information; units & supervisors; action items/dismissal; broadcast messages; and your local court information and details.

Security

The Security tab is where you will add and edit your agencies User Groups; and Assign User Groups.  

Reports

Reports can be filtered by category and type. Each report will guide you through criteria required to run the report.

Training

From this tab you will record and maintain employee competencies and develop training plans.

Utilities

For staff management, you will use this tab to restrict cases/intakes; set up geographical designations based on school district, census tract, and zip code; and where you will access AFCARS data for your agency.
