Assign a Work Item or Workload

The system handles many work assignments automatically, for example, the assignment of an intake to a screening decision maker or a provider to an inquiry decision maker. The subsequent assignment of a case or provider to a worker or supervisor is accomplished manually.  

These are assignable work items:

 

A work item may be assigned to more than one worker at a time. It may also be assigned to more than one agency; however, the ownership of the work item is retained by the primary agency. If another agency is to take ownership, you transfer the work item. (See Transfer a work assignment.) If you are assigning a workload, (for example, if a worker goes on an extended leave), the system allows you to reassign the whole workload or just parts of it.

You also have the option of assigning a work item according to the geographical designation on the work item. In this type of assignment, the system displays workers or supervisors who are associated with the same geographic designation as the work item. You can assign multiple work items by geographical designation if the work items share the same geographical designation.

To assign a work item or workload, complete the following steps:

  1. On the Home screen, click the Assignments tab. The Work Assignments screen appears.

  2. In the Assignments for field, select the worker's name from the drop down list.

  3. Click Show. The worker selected appears as a link with the type of work item assignments, and number of each they are assigned.  

  4. Click the Worker Name link or the symbol to open the person's list of work items. The list of assignments displays.

Each item displays a blank check box to the far left of the name link. In parenthesis is the work item type, ID number; and category). Brackets identify how the worker is assigned to the item, and/or  .

  1. Click in the check box next to the work item.

  2. At the bottom of the list, click the Assign button or Assign by Geographical Designation. The Assign Work Item screen appears. The system defaults to the worker's agency. A list of employees displays with the roles to which they are assigned.

  3. Click the Select link next to the employee's name who you want the item assigned. The Employee Assignment screen appears.

  4. Enter the Start Date or click on the calendar to select the date the assignment started. The End Date ends the employee's assignment to the work item.

  5. From the Roles table, click in each box next to all roles for which the worker is being assigned.

  6. To end an assignment; for example, as screening decision maker, click in the box next to End My Assignment in the Other Actions table.

  7. Or, if transferring the case to another PCSA, for example, click the check box next to End My and My Subordinates' Assignments. The Comments field is optional. If ending assignments, remember to enter the End Date in the field above the Roles table.

  8. Click Save. You are returned to the Work Assignments screen. The work item will now display in the assignments for the employees selected. If you ended your assignment the work item will not appear in your work assignment's list.
