A tickler is associated with a work item. It reminds the worker assigned to the work item to complete a required task by a certain due date. If the work item is not completed by the due date, the tickler is escalated. The display date, due date, and escalation dates are derived from the tickler template. (See About ticklers for more information.)
When a tickler is generated, the system determines if an active agency-specific template exists. If so, it generates the tickler based on the agency-specific template. If not, the system generates the tickler based on the State-defined template.
Modifications to tickler templates do not affect ticklers that have already been generated from the templates.
Record a tickler template as follows:
Click the Administration tab at the top of the screen.
Click the Maintenance tab.
Click the Ticklers link in the menu on the left. The Tickler Template search screen appears.
Enter your search criteria. You must select at least a county or "State" in the County field.
Click Search.
The tickler templates that meet your search criteria appear in the
search results table. State-defined tickler templates are always included
in the search results.
A summary of each template is provided on two lines. The first line
displays the details, including the number of days in which the work
item is due, when the tickler appears, when the first and second escalation
ticklers appear. The second line displays the tickler message.
Click the Edit
link for a template to update it, click the Copy
link to create a new template based on an existing template, or click
Add Tickler Template for a
completely new template. The Tickler
Template screen appears.
As a State system administrator, you can edit State-defined tickler
templates and create new templates. As an agency system administrator
you can edit only agency-defined templates. To create a new agency-defined
template, you must copy an existing State-defined template. You can
copy the same State-defined tickler template only once.
Complete all the fields on this screen. (The check
box fields and change reason are optional.)
If you, as an agency system administrator, are copying a State-defined
template for your agency, you can customize the number of days used
for computing the display date, due date, escalation dates and the
before/after indicators, as long as the numbers do not exceed the
numbers in the State-defined template.
If a State system administrator modifies a State-defined template to
reduce the number of days below the agency-specified due days, the
numbers are also reduced on all agency-specific templates based on
the State template. Agency system administrators receive notifications
whenever changes to a State-defined template affect an agency template.
Click Save. You are returned to the Tickler Template search screen.
