Record a Visitation Plan

A visitation plan allows the agency to monitor the interactions between the child and his or her biological family and other participants. Visitation plans may also be recorded when a court has ordered supervised visitations for a child and his or her parent(s). You must record a visitation plan for any child for whom the agency maintains custodial rights or for whom the agency has facilitated an out-of-home placement.  

The visitation plan record exists outside of a case plan. This gives you the flexibility to create a visitation plan that is not part of a case plan. If there is a case plan, you link the visitation plan to the case plan. (See Record a case plan.) A visitation plan must be associated with the case plan of each child who is in an out-of-home placement setting. Only one visitation plan can be active for a child at a given time.

After the plan has been recorded, you link case activity records for each completed visit. (See Record casework activity details or Link a record of activity to a visitation plan.)

Record a visitation plan as follows. Begin at step 4 if you are selecting a visitation plan from the case plan record.

  1. From the Home screen, click the Case tab.

  2. Click the Workload tab. The Case Workload screen appears.

  3. Click the case ID Number of the case you want to update. The Case Overview screen appears.

  4. Click the Visitation Plan link in the navigation bar on the left. The Visitation Plans Filter Criteria screen appears. You can filter through various fields to refine your search.

  5. Click the Add Visitation Plan button. The Visitation Plans Details screen appears.

  6. In Child Name field; select the name of the child whose plan you want to add a visitation plan. Enter Effective Date of the visitation. These two fields are required. If this is an existing plan, it lists the visitation records, which identify the person the child may visit, the dates, frequency, and so on.

  7. Select the Add Visitation Information button. The system displays the Visitation Information Details screen.

  8. Enter the details in these required fields:  

    Effective Date
    Member Who May Visit
    How Often
    How Long
    Where
    Other Approved Communication

  9. Click OK. You are returned to the Visitation Plan Details screen.

  10. Repeat steps 6 - 8 for each person the child may visit.

  11. From the Visitation Plan Details screen, in the Status field; select Complete.

  12. Click Save. You are returned to the Visitation Plans Filter Criteria screen.
