Record Supervisory Case Conference Notes

A supervisor reviews a worker's assignment and management of a case and then records the results in the case conference notes. These reviews ensure the adequate provision of case services. (They are not intended to document any human resource or personnel issues.)

You can update or delete a notes record if it is still in "Draft" status. Only the supervisor who created the record may delete or update a notes record. The system automatically changes the status to "Completed" after three days, if you have not updated the status before then. Once the notes record is in "Completed" status, you can enter addenda to the record, but you cannot change the original record. (See Amend supervisor case conference notes.)

Record case conference notes as follows.

  1. From the Home screen, click the Case tab.

  2. Click the Workload tab. The Case Workload screen appears.

  3. If you are a supervisor, click the Worker's Name link, and then click the ID number link for the case. The Case Overview screen appears.

  4. If you are a worker, click the ID number for the case. The Case Overview screen appears.

  5. Click the Case Conference Notes link in the light blue menu on the left. The Case Conference Notes Filter Criteria screen appears. Any case conference notes that have been previously recorded for this case appear in the Case Conference Notes field at the bottom the screen.

  6. If you do not see the item in the list, select the appropriate filter criteria to limit the display (upper section of the screen), and then click the Filter button.

  7. To edit an existing activity record in ”Draft” status, click the Edit link for that record. The Case Conference Notes Details screen appears.

  8. Complete the mandatory fields on this screen to thoroughly describe the activity including:

    Conference Type
    Conference Date
    Start Time
    Category
    Review Type
    Narrative
     

  9. Click the Associate Assigned Workers link to identify the Worker connected to this case review note. The Associate Workers screen appears, listing each worker assigned to the case record.  You must select at least one assigned worker to save the case review note.

  10. Select the check box next to each associate worker, then click OK. You are returned to the Case Conference Notes Details screen.

  11. For a new case conference note, click the Add Note button. The Case Conference Notes Details screen appears.

  12. Click Save. You are returned to the Case Conference Note Filter Criteria list screen.
