Record a Recruitment Plan and Activities

By May 1st of every year, agencies must submit their recruitment plan to ODJFS. A recruitment plan describes the activities an agency will perform to recruit foster and adoptive families. The recruitment efforts help ensure that effective strategies are in place to meet adoption and foster care placement needs of children served by the counties. The system uses the information you enter for statistical reporting.

Your agency may use recruitment plans for specialized efforts, like finding homes for children who might be hard to place or adopt. Recruitment plans with type ”r;Other” are approved at the agency level and are not forwarded to the State for approval.

To save time, you can copy a plan created by your agency or another one, then customize it for the current-year plans at your agency.

Record a recruitment plan and the planned activities as follows:

  1. From the Home screen, click the Provider tab.

  2. Select Recruitment. The system defaults to the Plan tab; the Recruitment Plan Filter Criteria screen appears.

  3. Enter the filter criteria. You can view all recruitment plans for the agency selected, or narrow your view to plans of a particular type, with certain effective dates, and so on.

  4. Click Filter. The results appear in the Recruitment Plans table.

  5. To update an existing plan, it must have a Pending Approval status. Click the Edit link for the plan you want to update.

    To copy an existing plan to create a new one, click the Copy link next the plan. All of the information from the original plan is filled in on the new plan record. You can change details as needed.

  6. Click Add Plan to start a new event. The Recruitment Plan Information screen appears.  

  7. Complete the fields to record basic information about the plan. Describe the specific activities planned regarding this topic. You must complete at least these fields:

    Plan Type
    Plan Name
    Effective Date
    Expiration Date

  8. Click Save. You are returned to the Recruitment Plan Filter Criteria screen. The plan populates in the Recruitment Plan table with an In Progress status.

  9. Click the Edit link. The Recruitment Plan Information screen appears.

  10. Click Edit next to each topic and complete the detail fields.

  11. Once the plan has been completed, submit the plan for approval, click Apply, then click Process Approval. The  system submits the recruitment plan to the approval supervisor for review. Otherwise, click Save. You are returned to the Recruitment Plan Filter Criteria screen.
