The organizational structure allows the system to manage staff information, work item assignments, and approvals, as well as ticklers and notifications.
An agency is associated with a county in the system. Each agency is made up of units. A unit may exist in the system with more than one supervisor associated with it or none at all. When there is a supervisor, the unit record includes the person's name and the dates during which he or she is or was the unit supervisor.
In general, a worker is assigned to one unit, one supervisor, and one agency, unless the supervisor override has been selected on the worker's record. If a worker is assigned to two units, the worker is still associated with one primary supervisor, again, unless the supervisor override has been selected on the worker's record. Record unit and supervisors as follows:
Click the Administration tab at the top of the screen. The Staff screen appears.
Click the Maintenance tab. The Agency search screen appears.
Click the Unit & Supervisor link in the menu on the left. The Unit & Supervisor search screen appears.
Complete the County and Agency fields to select county and agency in which the unit exists (or will exist). The agencies are those associated with the county you selected.
As a county system administrator, you can maintain information only for the units within your county.
Click Search. The units that currently exist in that agency appear in the search results table.
Click the edit link for the unit you want to update (for example assign a new supervisor). Or click Add Unit to add a new unit to this agency. The Unit Details screen appears. The supervisor(s) assigned to this unit, if any, appear in the Supervisor(s) table.
Complete the Unit Name and Description fields. If there is no supervisor, go to step 11.
Click the edit link for a supervisor to update the information, or click Add Supervisor to associate a supervisor with the unit. Only active workers may be designated as supervisors.
Locate and select the supervisor from the Employee Search screen. The Supervisor Details screen appears.
In the Start Date field, enter the date the supervisor was assigned to this unit.
Enter a date in the End Date field if the supervisor is no longer assigned to this unit. You cannot enter an end-date if there are workers assigned to that supervisor, however. (See Record a worker's job role )
Click Save. You are returned to the Unit Details screen.
Click Save. You are returned to the Unit & Supervisor search screen.
