Record a Matching Conference

The matching conference is a formal meeting in which representatives of the agency and others examine how well matched a child and adoptive family are. These conferences are scheduled periodically, at least every 90 days. You first record when the conference is scheduled and who is invited to attend. Once the conference is held, you update the record to show the results of the conference.

To aid in the decision making, you record a matching chart for each family.

Record a matching conference as follows:

1. From the Home screen, click the Case tab.

2. Click the Workload tab. The Case Workload screen appears.

3. Click the case ID Number link for the adoption case you want to update. The Case Overview screen appears.

4. Click the Placement Decision/Staffing link in the menu on the left. The system defaults to the Pre-Adoptive Staffing link. The Place Decision Process screen appears.

5. Click the Matching Conference link. The Placement Decision Process screen appears. It displays any matching conference records that have been entered for this child.

6. Click Add Matching Conference. The Child Selection for Adoption Match Conference screen appears. Select the Child Name and enter the Date.
   
   Click the Edit link for the matching conference record you want to update. The Match Conference Planning Information screen appears.

7. Click Save. The system defaults to the Match Conference Planning tab; the Match Conference Planning Information screen appears.

8. Select any Siblings to be Included. Click the Add Participant button. The Match Conference Participant Details screen appears. Complete the fields on this screen. See Identify the participants invited to the matching conference.

   1. Click Add Participant. The Match Conference Participant Details screen appears.

   2. Click Person Search, then locate and select the worker who is invited to the meeting. The person's name then appears in the Participant Name field and the agency or organization (if available) appears in the Agency/Organization Affiliation field.

   3. In the Role field, select the person's role in the meeting.

   4. If the person's agency or organization does not appear in the Agency/Organization Affiliation field, enter it.

   5. Click OK. You are returned to the Match Planning Information screen.

9. Click OK. The Match Conference Planning Information screen appears. Continue adding participants as necessary.

10. After the conference is held, select the check boxes in the Attended Conference column next to each participant who attended the conference.

11. Click the Families Considered tab. The Families Considered screen appears and identify the adoptive family(ies) who are being considered in this matching conference.

    1. Click Add Family. The Family/Provider Details screen appears.

    2. Click Provider Search, then locate and select the adoptive family being considered. You can add an adoptive family as a new provider, if the family is not already in the system.

    3. Complete the fields on this screen to indicate the pre-conference and matching conference decisions.

    4. Click OK. You are returned to the Families Considered screen.

12. Click Save. You are returned to the Placement Decision Process screen.
