Record Basic Information on a Person Profile  

Process: Record a person profile

To create a person record, see Create New Person Record. After a new person is added to the system, and the record is saved, the system displays the Person Overview screen. The Person Overview screen is the screen that will display each time you enter a person record. The information that pulls on to the Person Overview screen is recorded in the person's Profile. The Profile contains tabs to view, record, and edit Basic information; Demographics; Address/Contact Information; Additional reference details that may exist in other systems; Characteristics, Hazards, and Confidential details.

To enter or edit Basic information on a person record from Intake complete the following steps. (Also, see Add Intake Participants) To enter basic information to a person's profile from Case &/or Provider, go to Step 6 below:

  1. From Home screen, click the Intake tab.

  2. Click Add Intake button. The Reporter tab appears.

  3. Click on Add Reporter button. The Add Reporter screen appears.

  4. Click the Search Person button and complete a search. The results appear in the Person Search Results table.

  5. Click the Select link next to the person's name. You are returned to the Add Reporter screen.

  6. Click on the Person ID link. You are taken to the Person Overview screen.

    From Case tab: Navigate to the Members tab. Click the Add Member button. After completing a search, click the Select link. The person's name populates in the Active Member List table. Click on the person's Name link. You are taken to the Person Overview screen.

    From Provider tab: Navigate to the Members tab. Click the Add Member button. After completing a search, click the Select link. The Member Details screen appears. Enter member details. Click Ok. The person populates in the Current Active Members table. Click on the person's Name/ID link. You are taken to the Person Overview screen.

  7. Select the Profile link from the left hand navigation bar. On the Basic tab, in the Person Information table, enter details in the fields.

  8. Click the Add/Edit radio button next to SSN to enter the person's social security number. Complete as much information as you can in the remaining fields.

  9. If the person has an AKA name (nickname, maiden name, and so on), click the Add AKA button and record the AKA name.

  10. Click Apply to remain in the person profile. Click Save or Cancel to return to the Person Overview screen. Click Close to return to the screen from where you select the person's record.
